Questions & Answers dated 5/07/20 pertaining to the Grocery, Meat, Cheese Products and Snack Foods RFP.

Q.) Could you please provide the bid product list in excel format to allow for easier input of prices?

A.) In order to prevent any deletions or alterations to the documents in our RFP packets, we do not provide the bid product sheets other than pdf format.

Q.) Could you please provide the RFP documents in Word format to allow for easier input of information?

A.) In order to prevent any deletions or alterations to the documents in our RFP packets, we do not provide the documents other than pdf format.

Q.) Due to the current events that we are in is it possible to get a little more time regarding the due date?

A.) We need to stay with the established response dates for us to meet the necessary timelines for vetting bid results, preparing Finance Committee meeting and Board of School Committee meeting agendas.

Q.) Can we provide two copies of the bid response, not an original as requested but it will be signed electronically?

A.) We recognize that many people are working remotely at this time and cannot get signed copies of documents in a timely manner. We will accept electronically signed copies of the initial bid submission. If your company’s bid is selected, we will require an actual signed copy before we can initiate an agreement with your company.

Q.) Can we forgo the notarizing requirement for the initial response?

A.) We recognize that many people are working remotely at this time and cannot get officially notarized copies of documents in a timely manner. We will accept unnotarized bid copies. If your company’s bid is selected, we will require an officially notarized copy before we can initiate an agreement with your company.
